Overall team / department purpose
- The Commercial team is responsible for the provision of a continuously improving commercial service to the Operations delivery teams providing quantity surveying, procurement, materials management and fleet
management services. This involves applying the principles of value for money and ensuring the effective
commercial management of projects to support the operational teams in the successful delivery of timely, high-quality, cost-effective repairs, maintenance and facilities management.
Key role priorities
- This role is responsible for assisting with the effective commercial management of contracts to ensure the successful delivery of quality led and cost-effective services which meet customer satisfaction in support of overall Group objectives. This includes assisting with the development of successful bids and with the achievement of agreed project targets.
- The holder is required to assist the Head of Commercial in monitoring income and expenditure against forecasted budgets and with the analysis and provision of support in respect of income maximisation, including investigating areas of high cost, inefficiencies and poor performance.
Key working relationships
- The role is required to interact across the Operations function to contribute to the continuous improvement of performance and with other teams across our business in most effectively meeting objectives, with particular regular interaction with Assets, Finance and Health & Safety (SHE).
- External to our business, the holder is required to interact with suppliers, sub-contractors and specialist agencies/advisors as required.
Main duties & responsibilities
- Assist with the day-to-day financial management of allocated projects.
- Obtain quotations for work and appoint sub-contractors.
- Review and arrange for payment of sub-contractor invoices.
- Value completed works and submit applications / valuations for payment to the client.
- Assist with the preparation of budgets for new contracts.
- Assist with the preparation of monthly cost reports and financial projections as required.
- Place orders for client projects, sub-contractors and materials etc.
- Maintain financial records relevant to projects.
- Raise invoices for relevant projects.
- Record information in weekly commissioning/programme of works register and report all actions as a result.
- Assist in the preparation of accurate and timely quotations, ensuring Value for Money whilst also considering future proofing works by considering new and innovative methods of delivery and resources.
- Provide general support to the Commercial Management team.
- Complete any other tasks as commensurate with the level and nature of the post as delegated by the role’s line manager.
Key measures of success
- Payments and final accounts are processed and completed within contractual timescales.
- Value for Money reporting is evidenced, including details of savings and efficiencies.
- Meticulous approach is taken to ensuring the most efficient and effective completion of administration processes, ensuring information to be accurate, timely and accessible.

Educated to A level standard (Grade A-E) or equivalent relevant qualification (E)
Experience
Microsoft Office applications (E)
Working to deadlines whilst maintaining a high level of accuracy and attention to detail (E)

Evidence of relevant experience from work placements or non-work-related activities (D)
